Subject Access Requests (SAR) – Guidance for Requesters
Under the General Data Protection Regulation (GDPR) 2016, individuals have the right to request access to personal data held by West Midlands Ambulance Service NHS Foundation Trust

Important Notes
– The Trust will respond to all subject access requests without undue delay and, in any event, within one calendar month of receipt, in accordance with the UK GDPR.
– Requests will be responded to via the Subject Access Request Portal where applicable. If this is not suitable, please contact the Medical Records Team to arrange an alternative method.
– Providing all required information upfront helps avoid delays in processing your request.
– If you require any additional assistance to support accessibility, please do not hesitate to contact us.
Where requests are submitted by an external organisation, we will require signed patient consent prior to release of any documentation. All requests can be submitted via the Subject Access Request Portal.

Data Protection and Medical Records page:
Effective from 1st August 2026, we ask for all requests to be submitted to the Subject Access Request Portal.
Any requests submitted prior to this date will be managed by the current process and will be responded to via email or secure link.
This change has been introduced due to the high volume of requests received by the Trust and aims to reduce unnecessary correspondence. It ensures that all required information is provided at the first point of contact, allowing us to process requests more efficiently.
Access to Personal Information
The Freedom of Information Act does not affect a patient’s right to confidentiality. These rights are protected under:
- Article 8 of the European Convention on Human Rights
- General Data Protection Regulation (GDPR) 2016
- Data Protection Act 2018
- Common Law
Maintaining patient confidentiality is a core commitment of the Trust.
To support this, WMAS has a Caldicott Guardian—our Medical Director—who ensures patient confidentiality is upheld across all services.
